Lead routing
Qualification is fully agent-owned. Distribution starts only after the first live client response, when the lead moves to Sales and is auto-assigned from this designer pool.

Message whom
Pick a teammate — the DM opens after you select them.
Link to this message
Attach a lead, task, or project so teammates can open it from the chat.
New group
Your account and the people who work in the CRM — designers, managers, measurers, and installers.
Filming mode
For screen recording: hide the last 5 digits of client phones (and mask emails in chat). Only affects your admin view — teammates are unchanged. Agent and outbound still use full numbers.
My profile
Name, login email, phone for reminders, password, and your local timezone for the calendar.

Only admin can add or edit teammates.
Add teammate
They get a login and, if you turn calendars on, a personal schedule for that market.
Task due times are set in this person’s local time.
Connect forms and ads so new leads land in Qualification automatically.
Lead intake
Share the link with Zapier, Meta Lead Ads, or your website form. Pick the market URL when you know NY vs LA.
How to connect Zapier
- Create a Zap with your form or ad as the trigger.
- Add action Webhooks → POST and paste the NY or LA link above.
- Send at least phone number; name and market help a lot.
- The lead shows up in Qualification and the outreach campaign can start.

How the agent talks, when it calls, and what happens during qualification.
Name & call hours
Default agent name (markets can override). Designer hours = live staff. Agent call window = when AI may dial (every day).
Designer hours (weekdays)
Agent call window (every day)
Lead timing
New lead — one auto thank-you
Form / Facebook / Zapier phone leads only. This is the only fixed SMS template. After it, Sarah’s follow-ups (text prefer), missed-call SMS, campaign, and silence nudges are written by the AI from goals + thread context. Use {{name}} for the agent name if needed.
Next: after the Schedule delay → AI writes Sarah’s first SMS (text prefer) or AI dials (call prefer). Missed call → AI SMS. No other message templates.
Compliance SMS (HELP / STOP)
Carrier-required fixed replies only.
If the chat goes quiet
Qualification outreach
Over several days the agent calls and texts at morning / midday / evening in the lead’s market time (LA or NY). SMS copy is written by the AI from thread context — not from templates. Stops when qualified or not a fit.
Empty selection means all active admins/managers with phone numbers.
Advanced stop rules
You do not need to clear this for normal work. The day grid (Calls & SMS per day) runs by default. Only fill this if you want an old linear call/SMS chain instead.
Cold reconnect pool (CSV)
Import up to ~400 unreachable leads into a quiet pool (no calls/SMS). The agent keeps working live leads and pulls N new from the pool each day into outreach.

Agent instructions
The main playbook for chat and SMS: qualify the lead, get a phone if missing, then pass to a designer.
Market agents
One agent per market with its own phone. Leave a field empty to use the default for that market.
